Councillors Commission Report Launch
The objective was to mount a launch event that would not look or feel like a traditional event aimed at Councillors. The client wanted a venue that would "challenge expectations and reflect the outcome of the report" and a celebrity MC who would encourage attendance while being appropriate to the subject.
The venue we proposed for the event was BAFTA's headquarters in Piccadilly, London. it was reasonably priced, different, memorable, very comfortable and with excellent facilities. We negotiated with the Film Academy management to allow special usage of the Members' lounge for catering and networking.
Channel Four presenter Samira Ahmed was proposed as MC. She was very professional in her approach and her interest in the subject matter meant that she was willing to network with delegates after the presentation.
150 delegates attended the event, including elected local authority councillors, senior officials and the press.
Our areas of responsibility were:
- Programme design input
- Venue sourcing/contract negotiation
- MC sourcing, contracting and briefing
- Email distribution of invitations, response management
- Issue of joining instructions
- Liaison with the Commission’s secretariat to produce staging, signage and materials in line with the Commission’s visual identity guidelines
- Liaison with venue, caterers and technicians before and during the event
- Overseeing set-up, organisation and smooth running of the event on the day, including staging, lighting and sound, speaker briefings and stage management
- Registration and stewarding
- Name badge production
- Delegate pack production and collation
